Our goal is to offer companies a seamless and efficient hiring process through our solution. We aim to eliminate any unnecessary hurdles and streamline the entire process, ensuring that hiring becomes swift and hassle-free. By providing a user-friendly interface and comprehensive features, we strive to make the experience painless for both employers and candidates, ultimately enhancing productivity and enabling better talent acquisition.

Purpose of the dashboard

The purpose of the dashboard is to streamline the process for HR professionals in tracking their campaigns, which represent job openings within the company. This comprehensive tool allows HR teams to effortlessly manage various tasks, from sending emails to issuing invitations, and everything in between. By centralizing all these crucial functions in one place, the dashboard empowers HR professionals to efficiently accomplish even the smallest details, ensuring a smooth and organized hiring process.

Target audience

This product caters to a wide range of target audiences, depending on the size and structure of the company. For organizations with a dedicated hiring team, the dashboard serves as a valuable tool for them to efficiently manage the hiring process. On the other hand, for startups or smaller companies where hiring responsibilities are often handled by the founder or top manager, the dashboard provides an intuitive solution to effectively handle their hiring needs. In essence, this product is designed to benefit anyone involved in the process of hiring, regardless of their role or company size.

Specific Objectives

Our primary objective was to minimize human intervention in the hiring process, eliminating unnecessary back-and-forth communication between candidates and hiring personnel. We aimed to streamline the workflow by automating various aspects, reducing delays and improving efficiency. By removing manual tasks and facilitating direct interactions, our goal was to create a seamless experience that minimizes friction and accelerates the hiring timeline.

Problem Statement

The existing hiring process is burdened with excessive human intervention, leading to inefficiencies and delays. The frequent back-and-forth communication between candidates and hiring personnel creates friction and hampers the overall workflow. Manual tasks and dependencies on human interactions further contribute to a slow and cumbersome hiring timeline. There is a pressing need to streamline the process, automate various aspects, and minimize unnecessary interventions in order to enhance efficiency, reduce delays, and create a seamless experience for all stakeholders involved in the hiring process.

User Research

With a diverse team consisting of several HR professionals, we conducted extensive interviews to deeply understand the challenges they were facing and gather valuable insights from their perspectives. Additionally, we carried out surveys across multiple HR teams in various companies to gain a comprehensive understanding of common pain points and gather broader industry insights. By combining these research methods, we obtained a wealth of information that guided our design process and ensured our solution catered to the specific needs and perspectives of HR professionals across different organizations.

Key insights gathered from our research:

  1. Fragmented Workflow: HR professionals faced challenges as various aspects of the hiring process were scattered across different platforms. Coordinating calls, scheduling Google Meet sessions, and setting up assessments in separate tools created inefficiencies and hindered effective work.
  2. Lack of Candidate Pipeline Visibility: HR teams struggled to track candidates effectively for specific roles. They lacked visibility into the candidate pipeline, making it difficult to monitor progress and manage the hiring process efficiently.
  3. Candidate Mix-ups: There were instances where candidates were mistakenly mixed up for similar roles, leading to confusion and potential hiring errors. This issue highlighted the need for a clear and organized system to prevent such blunders.
  4. Dispersed Candidate Information: Candidate details were not consolidated in one centralized location, making it challenging for HR professionals to access comprehensive information about each candidate easily. This hindered effective decision-making and evaluation.
  5. Coordinating Interviews and Rescheduling: HR personnel faced difficulties in coordinating interview schedules between interviewers and candidates, often requiring time-consuming back-and-forth communication. Managing timing conflicts and rescheduling became a cumbersome task.
  6. Role-specific Process Management: HR professionals struggled to remember the unique hiring processes associated with each role. This lack of a standardized system made it challenging to ensure consistency and adherence to the appropriate process for each position.

These key insights formed the foundation for addressing the pain points and informed the design decisions of our streamlined hiring dashboard solution.

Design Goals

  1. Enhanced Usability: Our primary design objective was to improve the usability of the dashboard, ensuring that HR professionals could navigate and interact with it effortlessly. We aimed to create an intuitive interface that minimizes the learning curve and maximizes user efficiency.
  2. Data Visualization Excellence: Another important goal was to enhance data visualization within the dashboard. We focused on presenting complex hiring data in a clear and visually engaging manner, enabling HR professionals to quickly grasp insights and make informed decisions.
  3. Simplicity and Ease of Use: Considering that many HR professionals may not possess advanced technical skills, we prioritized a simple and uncomplicated design approach. We aimed to create a user-friendly experience, ensuring that even non-tech-savvy users could easily navigate and leverage the dashboard’s features without confusion.

Throughout the design process, we carefully considered user feedback and incorporated best practices to achieve a design and layout that is both intuitive and comprehensible, meeting the specific needs of HR professionals in an accessible and user-friendly manner.

Design Process

Ideation
During the ideation phase, we remained focused on the defined specific goals, ensuring alignment with our objectives. We carefully brainstormed and categorized key features that would address the identified pain points and enhance the dashboard’s functionality. By segregating the features based on their relevance and impact, we were able to prioritize and allocate resources effectively, ultimately shaping a well-defined roadmap for the dashboard’s development.

Wireframing

In the whimsical world of wireframing, the messier it gets, the tastier the output becomes!

Embracing the chaos and intricacies of wireframing allows for a creative brew of ideas, resulting in a delightful concoction of design brilliance. The wild tangle of lines and elements ultimately leads to a harmonious and well-crafted output that captures the essence of the envisioned user experience. So fear not the messy wireframes, for they hold the secret recipe to a truly delightful design outcome!

Design choices
When it came to key design choices, we opted for a predominantly white colour scheme, complemented by a carefully selected main colour. For the font, we chose Inter, known for its professional and clean aesthetic. Our focus was on creating a user interface that is refreshingly simple and minimalist, ensuring a pleasant visual experience for the users. We aimed to avoid any extravagant or unconventional elements, keeping the design straightforward and tailored to our target audience, preventing them from feeling overwhelmed.

Customizable Automation Models: Build custom automation workflows to automate repetitive hiring tasks, saving time and reducing manual effort.

Inbuilt Automations: Benefit from pre-built automation designed for different positions, making the hiring process more efficient and standardized.

Unique Automation Maker: Create customized automation workflows to meet your specific hiring requirements, allowing for flexibility and adaptability.

Kanban and Table View: Track the hiring pipeline visually through Kanban and table views, providing an organized and intuitive overview of candidate progress.

Quick Candidate Details: Access comprehensive candidate information with a simple click, enabling quick and informed decision-making.
Candidate Communication Bot: Utilize a bot for automated candidate communication, providing updates, interview reminders, and answering frequently asked questions.

HR Access to Chat History: HR team members can review chat history with candidates, ensuring smooth communication and maintaining a record of interactions.

Assessment Stack: Utilize an assessment stack to evaluate candidate skills and competencies efficiently, streamlining the assessment process.

My Team Collaboration: Collaborate with team members through the “My Team” feature, facilitating seamless communication, feedback sharing, and evaluation.

HR Bot Functionality: Leverage HR bot functionality to automate routine HR tasks, such as answering common HR-related inquiries and providing general information.

Campaign Stats View: Gain insights into the performance of multiple recruitment campaigns through a dedicated statistics view, enabling data-driven decision-making.

Interviewer Exclusive View: Provide interviewers with an exclusive view to manage their interview schedules, enhancing organization and coordination.

Interview as a Service: Offer interview-as-a-service functionality, simplifying the interview process for both interviewers and candidates.

Candidate Console: Provide candidates with a dedicated console to complete assessments, ensuring a smooth and user-friendly assessment experience.

Help Section: Access a comprehensive help section to assist users in navigating the platform, troubleshooting issues, and maximizing its capabilities.

Lessons Learned

I have a personal sentiment that the UI design, although functional, has room for improvement to elevate its overall quality. Additionally, I observed that adhering to the principles of the atomic design system could have been more effectively implemented. It is my belief that by refining the UI design and fully embracing the atomic design principles, we can enhance the visual appeal and optimize the user experience, ultimately achieving a more polished and cohesive design solution.

Conclusion

Embarking on this expansive project solo was a thrilling and enlightening experience for me. It involved a continuous cycle of learning and unlearning, as I absorbed valuable insights throughout the entire process and applied them to enhance each stage. I must admit, utilizing components proved to be a true lifesaver, streamlining development and ensuring consistency. Despite my best efforts to deliver excellence, there will always be areas that can be further improved.
